Two-Step Verification
In our increasingly digital world, protecting sensitive information is more important than ever. By using two-step verification, we can help protect private and sensitive information such as student and employee records.
Two-step verification (2SV), also known as multi-factor authentication or MFA, adds an extra layer of security to your accounts. In addition to providing your password, a second step is added to the login process to provide a second form of verification. Adding this second step ensures that even if your password is compromised, your account remains secure.
2SV is required on all staff Google accounts. Instructions directly from Google are available, or you can jump straight into your account's security settings to set it up. Over time, we intend to extend 2SV protection to other systems as available.
Available 2SV Methods
The following are the available 2SV methods and some pros and cons of each:
- Text message containing a one-time code
Pros: Simple, low-friction option
Cons: Requires a reliable cellular signal; you have to type in a new code each time; the least secure method - Authenticator app on your phone
Pros: No cellular/data signal required; much more secure than text messages
Cons: Requires you to install a separate app on your phone; you have to type in a new code each time - Google prompt sent directly to your phone
Pros: Simply tap "Yes" on your phone to provide your second factor; much more secure than text messages
Cons: Requires a data connection on your phone; iPhone users need to install the Google app; you need to log in to your District Google account on your phone - Security key, a small USB device approximately the size of a regular house key
Pros: Simply plug into your computer and tap the disc; the most secure method
Cons: Requires you to have the key handy and either have a compatible USB port or use NFC
We recommend either the authenticator app or Google prompt, as these are both highly secure, and they're convenient since most people tend to have their phones on them already. Staff that are either unable or unwilling to use one of the other three methods can request a security key from the District and are eligible for one key at no cost. To request a security key, fill out this form.
FAQ
Q: Do I need to provide my second factor every time I log in?
A: No! Unless you are using a shared computer, after your second step is confirmed, you can select the option to "Trust this device." Future log ins then will need only your password.
Note: Each browser (e.g. Firefox, Chrome, Edge) on a computer or phone is considered a separate "device" for trust purposes, so if, for example, you regularly use both Firefox and Chrome on your laptop, you will need to provide your second factor to each one.
Q: What if I don't enroll in 2SV by February 12th, 2024?
A: Current staff will be locked out and unable to sign in to their Google accounts on this date. New hires will have 1 week to set up 2SV on their accounts. Anyone who is locked out of their account will need to call the Help Desk at 907-452-2000 x11397.
Q: Are students affected?
A: 2SV is an option available to students, which several have already taken advantage of, but it is not required.
